  • Provide administrative support to lawyers, including managing calendars, scheduling appointments, and arranging meetings and conferences.

  • Prepare and format legal documents, correspondence, and court filings, ensuring accuracy, completeness, and adherence to legal requirements and deadlines.

  • Assist in drafting and editing legal documents, including letters, contracts, pleadings, and briefs, under the direction of lawyers.

  • Coordinate and track the progress of legal matters, including maintaining case files, tracking deadlines, and managing document flow.

  • Communicate with clients, courts, government agencies, and other parties to schedule appointments, gather information, and coordinate logistics.

  • Organize and maintain physical and electronic files, records, and databases, ensuring confidentiality and compliance with data protection laws.

  • Manage incoming and outgoing correspondence, including answering phones, screening calls, and responding to inquiries in a professional and timely manner.

  • Assist in billing and invoicing processes, including preparing billing statements, tracking billable hours, and following up on outstanding invoices.

  • Assist lawyers in research activities, including conducting legal research, gathering relevant information, and preparing summaries and reports.

  • Perform general office duties, including photocopying, scanning, faxing, filing, and other administrative tasks as assigned.

Requirements

  • Diploma or certificate in Legal Secretarial Studies, Office Administration, or related field.

  • Minimum of 4-5 years of experience as a legal secretary or administrative assistant in a law firm or legal environment.

  • Strong knowledge of legal terminology, document formats, and court procedures.

  • Proficiency in Microsoft Office suite and legal software applications, such as document management systems and legal billing software.

  • Excellent communication and interpersonal skills, with the ability to interact professionally with clients, lawyers, and staff.

  • Strong organizational and multitasking abilities, with the ability to prioritize tasks and manage time effectively.

  • Attention to detail and accuracy, with a focus on producing high-quality work products.

  • Discretion and confidentiality in handling sensitive and confidential information.

  • Ability to work independently and collaboratively in a fast-paced and demanding environment.

  • Professionalism, reliability, and a commitment to delivering exceptional service to clients and colleagues.
